FOUR WAYS TO IMPROVE PARENT COMMUNICATION THIS SUMMER

Your communication with parents should always be evolving. Here are four tips to help improve ways you get and keep their attention in 2025.

  • Make communications or reminder emails reader-friendly
    Parents are busy. Long, dense emails go unread or distractedly scanned. Show parents you value their time and use techniques from web writing to increase engagement:
    • Keep subject lines short and specific
    • Use bullet points for clarity
    • Break up text with headers or bolded key phrases
    • Write in short, clear sentences
    • Include only one clear call to action per message

  • If you have time, A/B test subject lines or formats. Consider mobile-friendliness. 59.4% of OUR KIDS users, for example, are on their phones.


  • Mix communication channels
    Don’t rely on email alone. Strengthen your messaging by combining formats:
    • Use snail mail to bundle information
    • Send timely text reminders for urgent or simple updates (e.g., “Drop-off is at 9am—don’t forget water bottles!”)
    • Consider app notifications if you use a camp management platform like CampBrain or SmartRec/Amilia.
    • Use printed handouts or posters during in-person events for consistency
    • Try video tools like Loom or Bonjoro to add a personal touch
    • Try something uniquely attention-grabbing like a postcard or a letter in cursive that directs them to important info.

  • Combining physical and digital channels reinforces your message and increases the chances it’s seen.


  • Break info into timely, bite-sized updates
    Overloading parents with information all at once leads to confusion and missed details. Instead:
    • Send information in small, timely messages leading up to camp
    • Group content around milestones (e.g., "Two Weeks to Go," "Packing Day Guide")
    • Use visuals. Simple graphics, icons, or checklists enhance comprehension
    • Provide a central FAQ page or mobile-accessible info hub that parents can consult anytime

  • Automate where you can
    Automation saves time and ensures consistency. Use it for:
    • Confirmation messages
    • Payment reminders
    • Packing checklists
    • Drop-off/pick-up reminders
    • Include the camper’s name and session info in messages
    • Tools like Zapier can help you automate messages

  • The right blend of automation and personalization builds trust while keeping operations efficient.
